Overview

CapCue (“CapCue”, “we”, “us”) provides a desktop application and website that generate real-time captions from your computer’s system audio. This Privacy Policy explains what information we collect, how we use it, and the choices you have.

By creating an account or using CapCue, you agree to the practices described here. If you do not agree, please do not use the service.

Information we collect

Account information: your email address and, optionally, your display name. If you sign in with Google, we receive your basic profile (name and email) from Google.

Billing information: if you purchase a plan or add account balance, we store billing details you provide (name, address, phone) and a record of your orders and wallet balance for invoicing.

Usage information: the number of transcription minutes you use, your plan, device identifiers, and the IP address associated with sign-up and device management (used to secure your account and enforce single-active-device limits).

Preferences and referral data: your in-app preferences, your referral code, and which accounts signed up through your referral link.

Support communications: any information you send us when you contact support.

Audio and transcripts

CapCue captures your computer’s system audio only while you are actively recording a captioning session. Audio is streamed to our speech-to-text provider to produce captions in real time.

Caption transcripts and any saved recordings are stored locally on your device. We do not upload your transcripts or recordings to our servers except where you explicitly request a feature that requires it (for example, generating a session summary).

Google user data

If you connect Google Calendar, you grant CapCue read-only access to your calendar events (the calendar.events.readonly scope) so the app can display your upcoming meetings. We request the minimum access needed for that feature.

We use Google calendar data solely to show your upcoming events in the app. We do not sell this data, use it for advertising, or transfer it to others except as needed to provide the feature or as required by law.

CapCue’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. You can revoke CapCue’s access at any time in your Google Account settings or by disconnecting the calendar in the app.

How we use information

To provide, maintain, and improve the service; to authenticate you and secure your account; to process payments and account balance; to operate the referral program; to enforce usage limits and our terms; and to communicate with you about your account (for example, sign-up verification and password resets).

How we share information

We do not sell your personal information. We share data only with service providers who process it on our behalf, under contract, to run CapCue: authentication and database hosting, speech-to-text transcription, transactional email delivery, website hosting, and DNS/CDN. We may also disclose information if required by law or to protect our rights and users.

Data retention

We keep account, billing, and usage records for as long as your account is active and as needed for legitimate business or legal purposes. Locally stored transcripts and recordings remain on your device until you delete them. You can request deletion of your account data as described below.

Security

We use industry-standard measures to protect your information, including encryption in transit and access controls. Authentication tokens on the desktop are stored using your operating system’s protected storage. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Your rights and choices

You may access or update your account information in the dashboard, disconnect Google Calendar at any time, and request access to or deletion of your personal data by contacting us. Depending on where you live, you may have additional rights under applicable privacy laws.

Children

CapCue is not directed to children under 13 (or the minimum age required in your jurisdiction), and we do not knowingly collect personal information from them.

Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the “last updated” date above and, where appropriate, notify you.
